Plain-language summary: Votter collects the information you provide to create your account and the content you post. We do not sell your data. We do not run ads. Your device contacts stay on your device — they are never sent to our servers.
1. Who We Are
Votter is operated by CinCon Group, a Massachusetts S-Corporation. Votter is a community organizing platform that lets organizations, campaigns, and groups communicate and coordinate with their members.

2. Age Eligibility
Votter is intended for users who are 16 years of age or older. By creating an account, you confirm you meet this requirement. If we learn that a user is under 16, we will delete their account and associated data promptly.
Individual communities on Votter may set their own membership requirements in addition to this platform minimum.
3. Information We Collect
Information You Provide
- Account information: Your name, email address, and username are required to create an account. You may optionally add a profile photo, bio, phone number, and other profile details.
- Community-specific information: Some communities may collect additional information from their members (such as organization affiliation, role, or other fields). These fields are defined by the community operator, not Votter. See Community Operators below.
- Content you create: Posts, comments, votes, action responses, direct messages, shared documents, and any other content you submit on the platform.
- Communications with us: If you contact us by email or through the app, we retain those messages.
Collected Automatically
- Device contacts (on-device only): The Outreach feature lets you select contacts from your device's address book to share posts with. This data is processed entirely on your device and is never transmitted to our servers.
- Push notification token: If you enable push notifications, your device's notification token is stored on our servers so we can deliver notifications to you.
- Usage and engagement data: We collect information about how you use the app — which features you use, when you use them, how you interact with content, and referral information — to understand how the platform is being used and how to improve it.
- Share link analytics: When you share a post link, we track click counts and anonymous recipient identifiers (no personally identifiable information). We also store the IP address of the link creator temporarily, solely to filter out self-clicks from your own analytics. This IP is not shared with third parties.
- IP address: Collected for security and fraud prevention as described above.
- App performance logs: We may collect crash reports and error logs to diagnose technical issues. Error tracking is provided by Sentry.
- Cookies and similar technologies: Our web services use cookies for authentication session management and analytics.
Authentication Methods
You can sign in using email and password, Google Sign-In, or Sign in with Apple. When you use a third-party sign-in method, we receive only the information that service provides — typically your name and email address.
What We Do Not Collect
- Location data — we do not collect GPS or location information
- Payment or financial data — Votter has no payment features
- Contact data from your address book — it stays on your device
4. How We Use Your Information
- Create and maintain your account
- Enable core platform features: posts, messaging, actions, documents, and more
- Send push notifications and email notifications about activity in your communities
- Track community impact metrics — activity points, task completions, referrals, and engagement scores — which contribute to a participation summary visible to other members in your community
- Measure platform performance and improve the product
- Filter self-clicks on share links to provide accurate outreach analytics
- Enforce our Terms of Service and Code of Conduct
- Respond to legal obligations and support requests
6. Your Rights and Choices
You have the right to:
- Access your data: Request a copy of the personal information we hold about you.
- Correct your data: Update your profile and account information at any time from your settings.
- Delete your account: Delete your account from within the app. Your personal information (name, email, profile photo, phone number, bio, and social links) is removed immediately. Posts and comments you created will remain but will appear as authored by "Deleted User" — they are no longer linked to you.
- Opt out of notifications: Disable push notifications from your device settings. Manage email notifications from your account settings.
- Data portability: Request an export of your data.

7. Data Retention
We retain your personal information for as long as your account is active. When you delete your account, all identifying information — name, email, profile photo, phone number, bio, and social links — is removed immediately. Your push notification tokens and active sessions are also revoked at the same time.
An anonymized record of your account (with no personal information attached) may be retained to preserve the integrity of content and activity that other members have interacted with. Posts you created will remain visible as authored by "Deleted User."
We may retain certain records longer if required by law or for legitimate security purposes such as fraud prevention. Aggregated, anonymized data that cannot be linked back to you may be retained indefinitely for analytics and product improvement.
8. Security
We take the following steps to protect your data:
- All data is transmitted over HTTPS (TLS encryption)
- Passwords are stored using industry-standard one-way hashing
- Access to user data is limited to authorized personnel
- Role-based access controls limit what each administrator can see
No system is 100% secure. If you believe your account has been compromised, contact us immediately at hello@votter.org.
9. Children's Privacy
Votter is not directed to anyone under 16 years of age. We do not knowingly collect personal information from users under 16. If you are a parent or guardian and believe your child under 16 has created an account, please contact us at hello@votter.org and we will promptly delete the account and associated data.
10. A Note on Community Operators
Votter provides the platform; organizations ("community operators") use Votter to run their own communities. Community operators may:
- Define additional membership fields and data collected from their members
- Set their own community rules and moderation policies
- Access member activity data within their community
Votter provides the tools; the community operator is responsible for how they use member data within their community. If you have questions about data collected by a specific community, contact that community's administrators.
11. Changes to This Policy
We may update this Privacy Policy as our practices evolve. We will notify you of material changes via in-app notification or email. The "Last updated" date at the top of this page reflects when the policy was last revised. Continued use of Votter after a change takes effect constitutes acceptance of the revised policy.
